Terms of Service
China Vibe Travel • Revised September 2026
This website (thechinavibe.com) and the private tours, tailored travel and transfer services described on it are operated under the brand "China Vibe Travel" ("we", "us", or "our"). Our official email is info@chinavibetravel.com.
By confirming a booking, submitting an initial deposit or invoice payment, or using this Website, you ("the Client", "the Guest") formally agree to the following terms and conditions:
1. Scope of Service
China Vibe Travel provides private tours and tailored travel, starting with the services in Beijing described on this Website. We help shape plans, prepare agreed arrangements and coordinate with the people providing each service.
The exact itinerary, inclusions, timing, price and applicable terms are the ones confirmed with you in writing before payment. An enquiry, estimate or WhatsApp conversation is not a confirmed booking.
Transport, attraction tickets, guides, restaurants and other parts of an arrangement may be provided by independent third parties. Their safety rules, operating conditions and availability also apply to the relevant part of the service.
2. Private Ground Transportation
Ground transportation coordinated by China Vibe Travel is provided by independent transport providers and drivers. The confirmed service details identify the route, pickup, vehicle plan and service window that apply to your booking.
- Mutianyu service window: The Mutianyu Great Wall Private Tour covers 9 hours, with hotel pickup and return within Beijing’s Fourth Ring Road. Other pickup areas or additional arrangements require a separate quote and written confirmation.
- Changes and additional time: Any extension or material change to the confirmed transport arrangement is subject to driver availability and a price agreed with you before the additional service is provided.
- Safety and operation: The transport provider and driver retain operational authority over navigation, vehicle operation and passenger safety. If a confirmed arrangement is affected, we coordinate the practical next steps with you and the provider.
3. Passport Documentation & Real-Name Monument Reservations
When an agreed attraction requires real-name admission, you must provide the requested passport details accurately and by the deadline confirmed with you. Bring the physical passports used for the booking on the day of the visit.
- Strict Non-Transferability: Government-managed heritage sites strictly enforce real-name ticketing matched against physical passports at electronic entry gates. Tickets cannot be modified, renamed, or transferred once booked.
- Passport Accuracy: Submitted passport details must match the physical passports used on the day. Incorrect or mismatched details may prevent ticket issuance or admission.
4. Booking, Payment Schedule & Cancellation Policy
The following schedules distinguish standard one-day tours and private transfers from larger parties and custom tours. Your enquiry does not confirm a booking. We confirm the arrangements, availability, price and applicable terms before sending a payment link.
Standard one-day tours — up to 6 guests
Cancellation at least 24 hours before departure: refund of the tour fare less a 3.5% non-refundable payment processing fee and any non-refundable real-name tickets already issued. Cancellation within 24 hours of departure or a no-show is non-refundable. Payment is requested after the arrangements and price are agreed.
Private airport and station transfers — up to 6 guests
Cancellation at least 24 hours before the scheduled service: refund of the transfer fare less a 3.5% non-refundable payment processing fee. Cancellation within 24 hours of the scheduled service or a no-show is non-refundable. Payment is requested after the vehicle plan, arrangements and price are agreed.
Larger parties (more than 6 guests) and custom tours
The deposit, balance and cancellation schedule below applies to these bookings.
A. Payment Schedule
- Initial Deposit: A 30% deposit of the total journey investment is required upon booking confirmation to lock private vehicle fleets, secure luggage logistics trucks, and initiate real-name reservation workflows.
- Remaining Balance: The remaining 70% balance is due 14 calendar days prior to your arrival date. To ensure our dedicated drivers and vehicles are not held unconfirmed during the peak holiday season, reservations with unpaid balances past this deadline may be released back to scheduling, with the initial deposit applied toward pre-committed operational arrangements.
B. Cancellation & Refund Policy
Should you need to cancel all or part of your confirmed journey, written notice must be sent via email to info@chinavibetravel.com. Refunds are calculated based on the date written notice is received:
- 30 or More Days Prior to Arrival: Full refund of the 30% deposit, minus a 3.5% non-refundable payment gateway processing fee (assessed directly by Stripe/credit card networks). China Vibe Travel retains zero cancellation or administrative fees.
- 15 to 29 Days Prior to Arrival: The 30% deposit is retained in full to cover advance vehicle blocking commitments and administrative planning. No further balance is billed. If the full balance was prepaid, the remaining 70% is refunded in full, minus the 3.5% payment gateway fee.
- 8 to 14 Days Prior to Arrival: 50% refund of the total journey investment, minus the 3.5% payment gateway fee. Retained funds cover non-recoverable fleet holds, chauffeur retainer allowances, and administrative commitments.
- Within 7 Days of Arrival or No-Show: Strictly non-refundable. Due to real-name monument issuance, committed vehicle dispatch, and reserved logistics fleets, no refunds or date credits can be issued for cancellations made within 7 days of scheduled arrival.
C. Unused Services & Early Departures
No refunds, partial credits, or pro-rated adjustments will be granted for any unused services, meals, admissions, or early departure once the journey has commenced.
5. Weather, Monument Closures & Force Majeure
Cable cars, chairlifts and toboggan rides are operated by the scenic area and may pause during rain, high winds or icy conditions for safety. If only a ride is affected, we discuss available alternatives with you; a partial ride closure does not automatically cancel the entire tour.
Standard one-day tours of up to 6 guests: If the entire scenic area is officially closed, we offer free rescheduling or a refund less the 3.5% payment processing fee.
Larger parties and custom tours: If a venue is officially closed, we first discuss a replacement itinerary. If an unused admission cannot be rescheduled or replaced, its official face value is refunded.
Changes are subject to safety, suitability and availability. We coordinate the next steps with you when circumstances affect the agreed arrangements.
6. Dietary Coordination & Allergy Disclaimer
We can help coordinate a restaurant reservation and pass dietary preferences to the restaurant when this is part of the agreed arrangement. Restaurant meals are paid directly to the restaurant unless the written confirmation says otherwise.
- Third-party kitchens: China Vibe Travel does not own or operate dining establishments and cannot control ingredients, preparation methods or commercial kitchen environments.
- Allergies: Passing a dietary request to a restaurant is not a guarantee that the request can be met or that cross-contamination will not occur. Guests with severe allergies should use their own judgment and carry any medication they may require.
7. Child Safety Equipment & Parental Supervision
Child seats can be requested for the Beijing airport and station transfer services currently described on this Website. The available seat type and vehicle arrangement are confirmed with you before the service.
- Fit and use: Parents or legal guardians are responsible for confirming that the available seat is suitable for their child and that the child is correctly secured before the vehicle departs.
- Supervision: Dedicated chauffeurs and cultural guides focus on driving safety and cultural interpretation; they do not provide childcare or babysitting services. Parents must maintain active supervision of minors at all times, especially near water features, historical steps, and mountain wall ramparts.
8. Physical Requirements, Health & Travel Insurance
- Physical Exertion: Great Wall visits involve uneven stone surfaces, historic staircases and outdoor exposure across changing weather conditions. Guests are responsible for considering whether the agreed route is suitable for their party and for sharing relevant mobility concerns before confirmation.
- Travel Insurance: China Vibe Travel does not sell or underwrite insurance. We recommend that guests consider appropriate travel insurance for medical care, disruption and personal belongings.
- Personal Belongings: Guests are solely responsible for personal items (cameras, mobile devices, luxury goods, and passports). China Vibe Travel and affiliated chauffeurs are not liable for items misplaced, damaged, or left behind in vehicles or venues.
9. Guest Communication & Amicable Support
If questions, concerns or discrepancies arise during or after a confirmed service, contact us through the WhatsApp number or email address shown on this Website (info@chinavibetravel.com).
We value personal relationships and mutual respect above all, and we are dedicated to resolving any on-the-ground adjustments promptly, fairly, and in good faith.
